Free Task List Templates

Two people can write down identical work and walk away with completely different lists, because the right layout depends on how the work is organised, by the day, by priority, by project, or by the phase of an event. Pick the layout that matches how you already think about the work and the list does half the planning for you.

We have gathered the most useful task list templates in Word and Google Docs, one built for each of those ways of working, so you can drop in your own tasks and start the day already organised, with the tracker already built for you.

Event Planning Task List Template

Planning an event means juggling a dozen workstreams at once, and this template keeps them apart by splitting the page into blocks, one each for pre-event planning, logistics, marketing and communication, on-site coordination, and the post-event wrap-up. Working block by block means nothing gets forgotten in the rush, the venue deposit, the social posts, the day-of schedule, and the thank-you emails all live under the heading they belong to. It carries an event end to end, which is why planners prefer it for anything with a long build-up and a busy wind-down.

Maintenance Task List Template

Upkeep is the work that only gets noticed when it stops, and the maintenance task list template keeps it visible before that happens. It logs each job against a facility and a location, an HVAC filter on the third floor, an electrical inspection in Building A, and assigns it to a technician or a crew with a priority and a due date inside a set maintenance period. Recurring checks are easy to carry forward this way, which is how a facilities team gets ahead of breakdowns.

Project Task List Template

This template tracks the work of one named project. It records the project ID, the manager, and the planned duration, then lists each task against who owns it, when it starts, when it is due, and how far along it is. A Notes box carries the standing reminders a project depends on, report delays early and keep status current, and a Last Updated field tells the team how fresh the list is. Pick it for a defined piece of work with a start and an end, where everyone wants one shared picture of who is doing what by when.

Staff Task List Template

The staff task list template tracks one team member’s duties across a shift, putting a start time and a due time against each task, the mark of a shift-level list. It names the reporting manager and includes Prepared By and Reviewed By lines for handover, so a supervisor can close a shift knowing every duty was logged and checked. It is the right pick for retail floors, clinics, hospitality, and any setting where work is measured in hours on the clock more than days on a calendar.

Weekly Task List Template

The weekly task list shows a whole week at once, with each task grouped under its day and carrying a category, a start and due date, a priority, and a status. That category column is the reason it handles a mixed week so well, since you can tell at a glance that Monday is heavy on client work and Thursday is mostly admin. Set it up every Sunday and you walk into the week already knowing where the pressure points are.

Calendar Task List Template

A calendar beats a column when the date itself is the point, and this template draws the month as seven day-columns across five weeks, each cell holding a date and room for the tasks that land on it. Writing a deadline straight into its square shows you the crowded days and the open ones before you commit to anything, which a row-by-row list can hide. It works for content calendars, study plans, and family schedules, anything where the date is the first thing you think about.

Monthly Task List Template

A month is too long to hold in your head, and this template is built to carry it on paper. It records the month, the department, and who prepared the list, and adds a Reviewed By line for sign-off, so a month of work has an owner at both ends. The Department or Client column shows who each task belongs to across four busy weeks, which is the level a monthly view is really for.

Priority Task List Template

When everything feels urgent, this template forces the honest question of what truly comes first. It splits the page into four labelled blocks, High, Medium, Low, and an Additional section for the overflow, so a task is ranked the moment you decide which block to write it in. The High block stays short by design, which is the whole point, since the things that matter most should always be the first thing you see. Keep it somewhere you can see it and the day organises itself around the top block.

Construction Task List Template

A build moves in sequence, the excavation before the pour, the framing before the roof, and this template tracks that sequence across one site. It records the project location, the client, and the site manager, and tags each task with a Trade or Department alongside a target date, so the concrete crew and the electricians both read off one schedule. The remarks column picks up the realities of a site, a weather delay here, a late delivery there. Built for site managers and project controllers, it keeps a job’s moving parts legible to everyone who shows up to work it.

Office Task List Template

Office work is a steady stream of small commitments, emails to answer, meetings to set, suppliers to chase, and this template keeps a week of them in order. It covers one week, tagging each task to a department or a client and tracking it through to a Reviewed By and Approved By sign-off, which is how a team lead keeps a whole department’s week in view. It is the everyday workhorse of the set, made for administrators and coordinators keeping the back office of a busy company moving.

Project Management Task List Template

The project management task list template is built for work that has to answer to other people. It separates a short Task Title from a fuller Task Description, names the client alongside the manager, and adds both a Reviewed By and an Approved By line, so the list doubles as a record that the right people signed off. Use it on a project with a steering committee, an external client, or an audit trail to satisfy, where what was approved counts as much as what was done.

Business Task List Template

Step up from day-to-day office work and you reach the business task list template, which ties a list of tasks to an objective and a reporting period. Each task is assigned to a team or a lead, tracked against a due date and a status, and the list includes a manager’s signature line for formal sign-off, the detail behind board updates and quarterly reviews. Think of it as the list you bring to a stakeholder meeting, where the question is less what happened today and more how the quarter’s goals are tracking.

Daily Task List Template

This template plans one working day by the clock. Every row pairs a task with a start time and an end time, plus who assigned it, how urgent it is, and its current status, so the morning admin, the ten o’clock meeting, and the afternoon callbacks each claim a window of their own and stop overlapping. Fill it in the night before or first thing, and the day arrives already planned against the hours you actually have.

Employee Task List Template

This template belongs to one person. It names the employee, their ID, and their manager, then lists the tasks assigned to them with a start and due date, a priority, and a Notes column for the back-and-forth that actual work generates. Because it works in dates across several days, it tracks a stretch of work such as a week of deliverables or an onboarding checklist. Hand it to a new hire or bring it to a one-to-one, and both sides can see one agreed set of commitments and how they are progressing.

Meeting Task List Template

A meeting is only as good as what happens afterwards, and this template catches the part that usually slips, the action items. It records the meeting title, date, time, and location, then breaks the discussion into a list of action items, each one assigned to a person with a due date and a status to chase. Send it round within a day of the meeting and the decisions actually move, because everyone can see what they agreed to own.

Which Task List Layout to Pick

The honest truth is that the content of your list barely changes between these templates. What changes is the shape, and the shape is the whole decision. Start with how you look at the work, by the clock for the daily and staff lists, by the day or week for the weekly and calendar versions, by the month or the project for the monthly, project, and project management templates, or by a specific event you are counting down to.

Then layer in who the list answers to. A list only you see can stay lean, but a list a manager signs off wants a Reviewed By or Approved By line, which is why the office, monthly, business, and project management task list templates carry one. The sign-off is not bureaucracy for its own sake, it is how a list becomes a record once more than one person is relying on it.

Domain matters too. A construction or maintenance crew works against trades and facilities, an event planner against phases, a meeting against its own action items. Match the layout to how the work actually breaks down and the list stops fighting you. Pick the wrong shape and you spend more time tidying the tracker than doing the work it was meant to hold.

Write Tasks That Get Done

However good the layout, a task list is only as useful as the tasks you write into it, and a few habits separate a list that drives a day from one that just records good intentions.

Name the Outcome

A task written as “Budget” tells you nothing; “Approve the Q3 marketing budget” tells you exactly when you can tick it off. Start each line with a verb and name the finished state, because a task you can picture being done is a task you will actually begin. Vague labels are where lists quietly stall, since you reread them three times and still postpone the work.

Every Task Gets a Date

Every template here has a due date column for a reason, an undated task is really just a wish. Even a rough date creates a sequence and surfaces the clash when three things all land on Thursday. If a task has no deadline at all, decide if it really belongs on this week’s list, or move it to a someday list you glance at once a month.

Keep the Status Column Honest

A status column only works if it is current, so update it as you go and resist marking things “In Progress” when they have not started. On a shared list this matters more, because a teammate reading “Completed” will build on your work, and a wrong status costs two people their afternoon. A two-minute pass at the end of the day keeps the whole list worth trusting.

Make a Shared List Worth Trusting

A personal list forgives neglect, because you carry the missing context in your head. A shared one does not. The moment a column goes stale the team stops trusting it, and a distrusted list is worse than none, since people quietly build private side-lists and you lose the shared view everyone agreed to use.

The task list templates with Reviewed By, Approved By, or Last Updated fields exist for exactly this reason, they put a name and a date against the freshness of the list. Hand one person the job of keeping it current, agree how often it updates, end of day for a daily list or straight after each meeting for the meeting task list templates, and the list stays worth opening.

One more habit pays off, archive finished work somewhere you can still find it. A completed list is a record of what got done, useful for a review, a handover, or the next time you plan a similar week. The work you finished is data, and the task list templates that keep it are quietly building you a history of how your team really spends its time.

FAQs

What is the difference between a task list and a to-do list?

They overlap, but the gap shows up under pressure. A to-do list is usually a quick brain-dump you cross off, fine for a handful of personal errands. A task list carries more, a priority, a due date, a status, often who owns the item, which is what you want once other people or hard deadlines are involved. The templates here are task lists for that reason, they hold enough detail to coordinate work between people, which a plain to-do list was never built to do.

How many tasks should one task list hold?

Fewer than you think. A daily list works best at five to eight items, enough to fill the hours, few enough that the important ones do not get buried. Weekly and monthly lists hold more because they cover more time, but that rule still applies inside each day. If a list grows past what you can take in at a glance, break it up, by priority on the priority template, by day on the weekly one, or by phase on the event planning template. A list you cannot read in one look is a list you will stop opening.

Should everyone work from one shared task list or keep their own?

Both, at different levels. The team works from one shared list so nothing falls between people, and the project, office, or business task list templates are built for that, with an owner and a sign-off. Each person then keeps their own daily or employee list for the hour-by-hour detail nobody else has to see. The shared list answers how the team is tracking, the personal one answers what you are doing next, and trying to make one list do both jobs is why a lot of trackers get abandoned.
